Ask for the right document, not a broad promise

This guide is for beauty, skincare, fragrance and jewelry buyers who need packaging document support for paper boxes, sewn bags, inserts, pouches or multi-component launch sets. FSC, GRS and BSCI can help procurement teams review supplier fit, but each document has its own scope. A useful RFQ should say which component needs which document, what material route is being reviewed, and whether the buyer needs certificates for retailer onboarding, internal ESG review, audit files or shipment records.

Common document questions that slow down quotes

Many document delays come from one broad question: “Can you provide all certificates?” That question is too wide. It does not tell Ecoicolor which component, material route, brand requirement or retailer file is involved. A paper tube, a velvet pouch, a rigid box insert and a fabric drawstring bag may need different document conversations.

Weak RFQ wording

“We need eco certificates for everything.” This creates back-and-forth because the supplier cannot know whether the request is about paper source, recycled content, factory social audit or shipment paperwork.

“We need FSC discussion for the rigid paper box, GRS discussion for the recycled fabric pouch, and BSCI/audit file review for vendor onboarding.” This lets Vivi check each route separately.

Six-step document review workflow

  1. List the components: rigid box, paper tube, insert, pouch, tag, belly band, ribbon or carton.
  2. Name the material route: paperboard, art paper, kraft paper, recycled fabric, velvet, canvas, PU or other route.
  3. State the document purpose: retailer onboarding, ESG file, internal audit, customs/shipment record or marketing claim review.
  4. Confirm certificate scope: check certificate holder, material scope, product route and validity before making public claims.
  5. Match document to sample: approve the actual material and sample route that will be used in bulk production.
  6. Keep the language careful: say document support is project-dependent and must match the actual supply route.

Factory and production route still matter

A document conversation does not replace sample approval, production capability or QC. For paper packaging, the buyer still needs to confirm structure, board, wrap, print finish and insert fit. For sewn packaging, the buyer still needs to confirm fabric, lining, zipper, woven label, screen print or hot stamping. A document file helps procurement review, but the physical sample still decides whether the packaging fits the launch.
