1. Start With Product Use and Sales Channel

Do not start the RFQ with only dimensions and quantity. First explain what the packaging needs to do.

A skincare launch kit might need a rigid box, insert, pouch and retail carry bag. A fragrance discovery set might need a drawer box, tray, sleeve and small fabric bag. A spa retail program may need pouches that sit on shelf, travel well and keep the logo readable after repeated handling.

Useful product-use notes include:

  • Product category and pack role.
  • Retail, e-commerce, gift-with-purchase, hotel amenity, travel or event use.
  • Product weight and whether the pack must hold glass, jars, bottles or tools.
  • Required opening experience, display direction and logo placement.
  • Any existing brand color, finish or material reference.

2. Give a Target Price Range Without Hiding Requirements

For example, the same cosmetic pouch could be quoted with different fabrics, lining, zipper quality, logo methods and packing choices. The same rigid box could move across board thickness, paper wrap, insert type and finish. Without a target range, the supplier may quote something that looks attractive but does not match the actual launch budget.

Write the target as a working range, not a final demand:

  • “Target range for the full set: USD X to Y before freight.”
  • “Box and insert should stay near X if possible; pouch can be quoted separately.”
  • “Please show one standard route and one upgraded route if the cost gap is meaningful.”

3. Share the Launch Window and Ship-To Country Early

The launch window is not just a calendar note. It decides whether the project can include a printed sample, whether tooling needs priority handling, whether the brand should simplify finishes, and whether air or sea freight should be discussed.

Include these dates:

  • Artwork ready date.
  • Sample approval target.
  • Bulk production handoff date.
  • Required warehouse arrival date.
  • Retail or campaign launch date.

Also include the ship-to country and handoff point. Packaging for the United States, European Union, United Kingdom, Australia, Middle East or regional Asian markets may require different carton marks, document expectations and logistics planning. 4. List Every Packaging Component in the Set

Beauty packaging projects often fail at the quotation stage because the RFQ only names the hero item. If the project includes a rigid box, pouch, insert, ribbon, tissue, sleeve, label and tote bag, list them together.

For each component, include:

  • Size or product dimensions.
  • Quantity by SKU or color.
  • Material preference or reference sample.
  • Logo method: hot stamp, embossing, debossing, screen print, embroidery, woven label or patch.

7. Add Material Files and Claim Boundaries

Material documentation should be part of the RFQ, not an afterthought. If your retail channel asks for FSC, GRS, OEKO-TEX, BSCI, ISO or material traceability documents, tell the supplier before quoting.

8. Confirm QC, Packing and Handoff Details

QC and packing are not small details at the end of production. They affect carton design, inspection time, labor route and freight planning.

Include these instructions:

  • Critical inspection points: size, color, logo position, surface marks, stitching, zipper function, insert fit and carton marks.
  • Carton packing: individual polybag, tissue wrap, set packing, master carton quantity and weight limit.
