Fragrance Inserts and Boxes: RFQ Guide

Perfume gift box with bottle insert and fragrance packaging components

Use this guide to brief fragrance and essential oil packaging as a practical RFQ: bottle protection, cap-fit, insert route, paper tubes, rigid boxes, pouches, material swatches, sample approval and launch packing.

Updated for perfume, essential oil, aromatherapy, skincare, candle, wellness, discovery set and retail launch teams sourcing packaging for glass bottles, droppers, rollerballs and gift sets.

Send a Fragrance Packaging Brief View Perfume Cases

Resumen del comprador: A fragrance packaging RFQ should start with bottle data: bottle size, filled weight, cap height, cap diameter, shoulder shape, label area, insert route, outer structure, material direction, logo finish, MOQ, sample deadline and final packing method. This keeps the project focused on launch readiness instead of broad unboxing language.

Respuesta rápida

For fragrance and essential oil packaging, the insert should be designed around the bottle before the artwork is finalized. The key checks are bottle fit, cap clearance, insert tolerance, product removal, outer box or tube structure, material route, sample approval and carton packing.

For Ecoicolor’s fragrance case route, see custom perfume cases. For essential oil sets, see essential oil cases.

A useful fragrance packaging RFQ should include:

  • Product type: perfume bottle, essential oil bottle, rollerball, dropper, vial, discovery set, candle or refill bottle.
  • Bottle dimensions: height, diameter, shoulder width, cap height, cap diameter and filled weight.
  • Bottle surface: coated glass, label, spray pump, dropper, rollerball, cap sleeve or outer wrap.

Fragrance Insert RFQ Checklist

Área RFQ Qué confirmar Por qué es importante
Bottle data Height, diameter, cap, shoulder and filled weight Insert tolerance and box size depend on real bottle data.
Cap-fit Cap height, cap diameter, spray head or dropper detail A cap can hit the lid if clearance is not checked early.
Insert route Paperboard, molded paper, EVA, fabric lining or holder Inserts protect glass and control first-view presentation.
Outer structure Rigid box, paper tube, drawer box, pouch or gift set Structure controls MOQ, sample time and packing route.
Material route Paper, cotton, linen, PU route, velvet, satin or molded paper Surface affects logo result, color and QC checks.
Ruta de muestra White sample, printed sample and product-fit sample Approved samples become the production reference.
Packing plan Set packing, inner carton, master carton and labels Glass bottles need packing that limits movement.

1. Start With Bottle Data

Fragrance packaging sourcing should begin with measurements, not a mood board. Glass bottles, rollerballs and droppers have small details that change the insert and box route.

Ask the supplier to review:

  • Bottle height including cap.
  • Diameter or width at the widest point.
  • Shoulder shape and bottom shape.
  • Filled weight.
  • Label or decoration area that must not be scratched.
  • Pump, dropper, rollerball or cap protection.
  • Whether the product should sit upright, flat or angled.

If the bottle is still in development, send a technical drawing and target filled weight so the packaging route can be estimated before the final bottle arrives.

2. Confirm Cap-Fit Before Insert Sampling

Cap-fit is one of the most common hidden risks in fragrance packaging. The bottle can fit the insert while the cap still touches the lid, sleeve or tube cap.

Check:

  • Cap height and cap diameter.
  • Pump, collar or dropper clearance.
  • Whether the cap should be visible or covered.
  • Whether the insert holds the neck, shoulder or base.
  • Whether the bottle can rotate inside the structure.
  • Whether the customer can remove the bottle without pulling the cap.

Do this before final artwork because insert height can change the outer box dimension and logo placement.

3. Choose the Insert Route

The insert decides how the bottle is protected, displayed and removed. Different materials support different bottle weights and brand directions.

Insert Route Mejor ajuste Cheques del comprador
Paperboard insert Lightweight bottles, discovery sets and paper-focused projects Board thickness, fold stability, bottle movement and color.
Molded paper insert Bottle holders and selected gift sets Mold detail, surface texture, cavity tolerance and document needs.
EVA insert Heavy glass bottles and precise cavities Density, cavity edge, removal method and lining route.
Fabric-covered insert Premium rigid boxes and fragrance sets Fabric color, glue marks, dust, edge wrap and product fit.
Divider route Multi-bottle essential oil sets Spacing, bottle movement, label protection and carton packing.
Open fit with card Lightweight sets and secondary packaging Product stop point, card support and movement control.

4. Match Outer Structure to the Bottle

The outer structure should be chosen after bottle and insert data are clear. A paper tube, rigid box and pouch can all work, but each has different checks.

Estructura Mejor ajuste Cheques del comprador
Rigid box Perfume bottles, premium gift sets and retail launches Board thickness, insert route, closure feel and finish.
Tubo de papel Essential oils, candles, cylindrical bottles and discovery sets Diameter, cap clearance, inner support and label area.
Cajonera Discovery sets, rollerballs and multi-vial kits Pull resistance, tray tolerance, insert height and sleeve friction.
Magnetic box Hero fragrance launches and gift sets Magnet position, insert protection, opening feel and carton packing.
Drawstring pouch Vials, travel bottles and secondary protection Fabric, drawstring, label, lining and bottle movement.
Travel case Essential oil sets and refill systems Compartment size, zipper, lining, handle and bottle spacing.

For rigid box routes, see fabricante de cajas rígidas a medida. For cylindrical packaging, see envases de tubos de papel.

5. Plan Material and Logo Together

Material route and logo method should be discussed together. A foil logo on textured paper, deboss on PU route and printed logo on fabric pouch follow different setup and QC paths.

Material Direction Best Use Cheques del comprador
Specialty paper Rigid boxes, sleeves and paper tubes Paper weight, print result, foil result and color lot.
Bamboo fiber paper Premium box wrap and fragrance gift sets Surface consistency, logo method and document support.
Cotton or linen pouch Discovery sets, essential oils and secondary protection Fabric weight, drawstring, seam, logo and color tolerance.
Velvet or satin Insert lining, pouch or limited launch set Dust, pile direction, color and packing protection.
PU route Travel cases and structured essential oil cases Surface grain, deboss result, odor review and lining.

For material comparison, see materiales sostenibles para envases a medida.

6. Approve Samples With Product-Fit Checks

A fragrance insert sample should be checked with the real bottle or an accurate dummy. Empty insert approval can miss cap clearance, bottle rotation and removal issues.

Check:

  • Bottle fit and cap clearance.
  • Insert cavity tolerance and removal method.
  • Bottle movement during handling.
  • Label or glass surface protection.
  • Box closure, tube cap or drawer movement.
  • Logo position and finish.
  • Material surface, color and texture.
  • Carton packing and bottle movement in shipping cartons.

Keep one signed sample as the production reference and define major, minor and critical defects before inspection.

Cuándo recurrir a un proveedor integral de envases

A fragrance launch may include a bottle box, paper tube, pouch, insert, sleeve, card, label and carton packing. Coordinating those pieces separately can create color, timing and fit problems.

Un proveedor integral puede ayudar cuando:

  • The same launch needs boxes, inserts and pouches.
  • The insert must fit multiple bottle sizes.
  • Paper tubes and rigid boxes need one visual direction.
  • Material swatches and logo tests are needed before artwork approval.
  • Packing affects carton size, delivery timing or warehouse labels.

PREGUNTAS FRECUENTES

What should a fragrance insert RFQ include?

A fragrance insert RFQ should include bottle dimensions, filled weight, cap details, label area, outer structure, insert route, material direction, logo method, sample deadline, quantity and packing method.

Why is cap-fit important for perfume packaging?

Cap-fit affects the box height, insert depth, tube diameter, product removal method and carton protection. It should be checked before artwork and printed samples.

Which insert route works for heavy glass bottles?

Heavy glass bottles often need stronger insert support, such as EVA, fabric-covered support or a carefully engineered molded route. The final choice depends on bottle weight, shape and removal method.

Are paper tubes suitable for essential oil packaging?

Paper tubes can work well for essential oil bottles when diameter, cap clearance, inner support, label area and carton protection are confirmed before sampling.
